How to write wedding invitation times for international guests

Use venue-local event times, explicit time-zone labels and date-specific checks for online guests without cluttering your invitation.

Which time zone should the invitation use?

Use the venue’s local time for in-person events and label the city or zone clearly. For an online event, confirm the joining time for the actual date and guest location. Avoid a fixed time difference from memory: seasonal clock changes can alter it in some countries.

Separate arrival from the ceremony

Write guest arrival and formal start separately when they differ. Add AM or PM, or use a consistent 24-hour clock. Check every entry against the venue schedule. A countdown provides atmosphere but cannot replace a written full date and local event time.

Avoid ambiguous abbreviations

Pair the time with the venue city and country. A practical format is “[time], local time in [city, country]”. Write the month in words and include the year for international guests. Do not promise automatic time conversion unless that exact feature has been agreed and tested.

Check online participation separately

Ask a participant in each relevant location to verify the date and time with a date-aware time tool. Distinguish the online session from the venue arrival time. Keep private joining credentials out of public announcement artwork, and provide them only through the appropriate guest communication.

Recheck after schedule changes

A timing correction can affect arrival instructions, online joining and transport. Update those details together, then tell affected guests directly. Test the corrected invitation on a second device. Keep one approved event sheet so later messages do not accidentally repeat an older timing.

Can a countdown replace the written event time?

No. Keep the full date, local time and location visible in writing. A countdown is supporting presentation, not the definitive event schedule.
