Say who books, who pays and when the block closes

A room block is a set of rooms held for guests under an agreed arrangement. A held room is not necessarily a reservation for a particular guest. Confirm the booking method, nights covered, cutoff date and time, and whether guests pay the hotel directly. Keep the ceremony date separate from the booking deadline so nobody reads one as the other.

02

Copy a booking note once the terms are confirmed

“For guests travelling to [city], a limited number of rooms is held at [hotel] for [check-in date] to [check-out date]. To book, use [hotel booking link / reservations contact] and mention [group reference if needed] by [day, full date and hotel-local time]. Guests book and pay the hotel directly. Your reservation is confirmed when you receive confirmation from the hotel.” Use the payment line only if it matches your arrangement. If the hosts are covering particular nights or rooms, confirm those details privately with the guests concerned.

03

Send one short reminder before the cutoff

“A quick accommodation reminder for [event]: the held rooms at [hotel] can be booked until [date, local time], subject to availability. If you still need a room, please use [booking link or contact]. If you’ve already booked or made other plans, no action is needed.” Send it with enough time for overseas guests to respond during the hotel’s hours. Avoid asking guests to share payment information in a family group.

04

Give guests a backup if the block fills or closes

“The held rooms at [hotel] are no longer available through our arrangement. If you still need a stay, please contact the hotel for current availability or consider accommodation near [confirmed area]. For practical local guidance, contact [designated host].” Do not promise the old rate or ask guests to cancel an existing reservation unless the hotel has confirmed what applies.

05

Keep the website useful and individual bookings private

Put general dates, the booking action and a contact in the guest note. Keep booking references, individual rates, guest names, room numbers and payment details out of shared updates. Before sending, open the link, confirm the intended nights and check that guests can tell whether booking a room is separate from replying to the wedding invitation.

06

Questions couples ask

Does replying yes to the wedding RSVP book a room?

Only if your hosts have explicitly arranged that and confirmed it with you. In most cases, treat the wedding response and hotel reservation as separate actions.
