Accommodation wording for destination wedding invitations
Explain hotel suggestions, hosted stays and booking contacts clearly so overseas guests know what is arranged and what they must organise.

How do we describe accommodation?
Say whether you are providing a stay, suggesting nearby hotels or sharing an arrangement managed by someone else. Those are different commitments. Include only confirmed information, and keep individual booking details private. Guests should understand what they need to do after reading the note.
When guests book their own stay
Example: “Guests are welcome to arrange accommodation that suits them. [Area] is convenient for [venue]. For practical local guidance, please contact [name and contact].” Name a hotel only after checking the recommendation, and do not imply that rooms are reserved or a special rate exists if neither is confirmed.
When a room arrangement is confirmed
Example: “For the accommodation arrangement coordinated by our family, please message [contact] by [date]. They will confirm availability, dates and any cost privately.” Adapt this to the actual arrangement. A public note should not expose room numbers, the guest list or booking references.
Distinguish nights and event dates
A wedding held on one date does not tell a traveller which nights to book. If a hosted stay is included, privately confirm check-in and check-out dates with each guest. The invitation can indicate who manages questions, while the booking confirmation remains separate.
Keep updates actionable

Can we advertise a hotel discount before it is confirmed?
No. Publish a rate or reserved-room arrangement only after its organiser confirms the terms. Otherwise describe accommodation as a suggestion or private enquiry.
