A clear RSVP plan for overseas wedding guests

Set a useful response deadline, explain household replies and follow up on uncertain travel plans without exposing guest information.

How should overseas guests RSVP?

Ask for a clear attendance answer by a stated deadline and explain which events the response covers. Make household numbers explicit. International travel can remain uncertain, so keep a private follow-up list for guests who cannot yet confirm instead of interpreting silence as a yes.

Set the deadline from the host’s needs

Start with catering, seating and venue decision dates, then allow time for personal follow-up. Give a full written deadline and, if responses close at a particular hour, its time zone. Explain who to contact if someone’s travel arrangements change after responding.

Avoid assumptions about households

A reply from one person may or may not include a partner, children or parents. State the intended household and ask for the attendance information your process actually supports. Keep replies private

Guest phone numbers, attendance lists and personal notes belong in the private response workflow. Do not publish screenshots of the guest list in a public family update. Collect only what helps organise attendance, and avoid requesting passports, booking references or unrelated identity information through the RSVP form.

Use a considerate follow-up

Example: “Hello [name], we are finalising arrangements for [event]. Could you please confirm by [date] whether your household can attend? Here is the invitation: [link]. If travel is still uncertain, please message [contact].” Keep the message personal and avoid repeatedly reminding guests who already replied.
